Title: I'd furgotten....

Addicted2~Jesus - June 17, 2007 11:46 PM (GMT)
I've been handed another responsibility to contend wit, so the easiest way since it involves a ton of paper work that needs to be tracked is to stick it in a database... my goodness... I hadn't built a database from scratch for years... I'd furgotten how annoyin this lil bug an that lil bug could be... havin to build em from the ground up, cause no one in the frickin world offers a prebuilt deal.... I've already a headache an I hadn't even harldy got started yet.... of for the days of star trek, where I jes tell the puter, make me this an fill it in....

Le's see now... mmm I guess it's been bout 11 years since I built my last DB, an then it was dos based, I've actually never used any of M$ apps for a DB, the copy I have wit me in the truck is one I got ahold of yeserday, called sumthin like Brillant database? Think that's what it was called, havta look agin, but my bunk puter needs a restart, vid card keeps crashin on it.. havta look at that one these days. I'm not even sure if I have a VALID copy of Access er not, I've never used it, but it will need to do a couple thins, generate quarterly reports an a year summary as well.

I need to git a copy of the form as I don't currently have one wit me, I was doin everthin from memory. More state crap, they wanna make sure I'm payin all the frickin miles I say I am runnin etc.

Since I've not ever messed wit Access, other then to fix a broken app problem etc, I donno, is it worth messin wit er is it one em thins that would be better left alone, an btw what's the file size generally of a M$ db? I need it to stay small for ease of transfer an back up. The last one I built, was invoices trackin of repairs on units years back, an wit a fleet of 40 some odd units in constant repair, it didn't take long before my db was on a dozen stinkin disks.

Your DB's size will depend on the amount of records you accumulate...

We have a couple of large MSAccess DB's here at work and they are in the 35-50 Meg range...they have thousands of records and dozens of tables/forms and queries.

I would look into getting MSAccess for sure. Do you have MSOffice? Depending on the Office package you have, it'll be included along w/Word, Excel.

The next best thing would be FilemakerPro...

Generating reports... sure you wanna go DB and not Spreadsheet?

Excell could help you out with that fairly well.....

Or export your DB into a spreadsheet....

A spread sheet would be fine, only.. since I havta have quarterly an anuual reports it's very complicated to even think bout makin work. I think the database would be easier in the long run, because then I can jes ask the thin for quarterly an anuual reports seperated as needed.

See this is for mileage records that I havta keep, ever mile I turn in a state determines how much my lic. tag is goin to cost me each year.

An I have to have an individual record for each trip, so for example, I leave the house to my folks to pick up the trailer, that's actually one trip, then I leave there an go load in harligen, another trip, then I go to naples fl. an drop the load, another trip an another record. Then I go over to someplace in Naples, like Deb's back yard an load sumthin, another record, so on an so forth.

What I need to have happen is at the end of the qauter it'll total up all the miles for all the states I ran through in that quater. So le's say it was 500 through TX, then 250 through LA, 70 through MS, 70 through AL, 700 through FL. An I need it to print that out for me, because not only did they aduit my records once before an had a cow, I need that info to fill out the request for a cab card/registration for my base lic. plate.

So far as I know spread sheets, I cain't git it to take X amount of records in a quarter an display such an such miles in which states, an then take all records an display total miles run, how many in which state an how many of those were loaded an empty miles.

Not to mention... I know less bout spreadsheets then I do DB's hehe

rasplundjr - June 19, 2007 01:56 AM (GMT)
So you basically need something to track how many miles you've tripped, loaded or not and which states you tripped through and how much of each trip was in what state?

If I understod that right....

That's not too hard to do in excel....

I used to have to track calls whether or not they were FCC or escalated, or resolveable, what program was having the issue, customer name, tech name, and what type of issue inside the program and the dates the calls came in...

Pivot tables should be able to do your report for you.......

I'll see what I can do.... If you dont' want to use it no big....

Let me get the fields right before I start messing witht he computations....

Basically you need
Trip Date / Trip name / Load or Not / States / Miles per State / Miles Total
6-3-2007 / Deb's House / Unloaded / FL / 20 / 20
6-3-2007 / Grocery Warehouse / Loaded / FL GA / 20 50 / 70
right?

I'm not exactly sure Raspy, I havta git to Sarah's house an git one of the forms, I don't have one wit me, I have the excell sheet that the previous person was doin, but I don't have excell on my puter here so I havta git in an pick that up as well, I'm in a loosey service area so I cain't have it sent to me either. I know some of the basics, but I gotta scan one of the forms an see exactly what needs to be where, I was doin stuff off memory. I know it'll need to be a total of three forms, the trip report, the quarterly summary an annual recap. Those two will be rather easy, the problem comes in when your on a load that breaks the qaurter, I believe if it's an open record then it goes on the previous qaurter, but I havta read the states requirement agin an see wether that's true er not.

I normally carry my book of disks round wit me, but have been leavin em at the house lately cause everbody an their dog was needin this er that, but I'm sure I've got the programs there in my book, I jes havta see when I can git a chance to look at em.

I looked round, but couldn't find any of the forms to post here to letchya see what I'm talkin bout, but I'll be through TX an I know where there's a state thin, I am pretty sure I can git a truck in there, see if I can git them to give me a sample form that I can scan an post on here. Course, I still don't have access on the truck, but I can git it from the house. I'm 99.9% sure I've got a 'valid' copy at the house.
